Privacy Policy

This policy explains what personal information Aikyam collects through this website, why we collect it, who we share it with, how long we keep it, and the rights you have over it.

We sell business to business. This site takes enquiries from importers, distributors, wholesalers, manufacturers and brands. It has no shopping cart, no prices, no customer accounts and no checkout, so we hold far less information about you than a retail website would.

Who is responsible for your information

Aikyam is the data controller for the information described here. We are based in Mumbai, Maharashtra, India, and we export from Mumbai.

    What we collect

    Information you give us

    Everything in this group reaches us because you typed it into the enquiry form or the Get a Quote popup and pressed submit. Depending on which form you used, that is:

    • Your name and the company you represent.
    • Your role, and the type of buyer you are: importer, distributor, manufacturer, brand and so on.
    • Your country.
    • Your email address, and your WhatsApp number if you choose to give one.
    • The products you are interested in, your expected annual volume, and what you have asked us for: a sample kit, a spec sheet, a price list, documentation or a call.
    • Anything you write in the message field.
    • The page of this site you sent the enquiry from, so we know which product you were looking at.

    If you email us or message us on WhatsApp instead, we hold whatever that correspondence contains.

    Information collected automatically

    • Server logs. Our web host records requests to this site in the ordinary way, which includes IP addresses. These logs are our host’s standard security and diagnostic records; we do not use them to build a picture of individual visitors.
    • A short-lived form key. If a submission fails validation, the site puts your entries back into the form rather than making you retype them. To match the form to the right browser for ten minutes it stores an irreversible hash of your IP address and browser identifier. The hash cannot be turned back into either, we cannot identify you from it, and it is discarded automatically.
    • No analytics or advertising. This site runs no analytics package, no advertising pixels and no third-party tracking or profiling scripts. We do not sell or rent your information to anyone, and we do not use it for automated decision-making.

    Cookies and browser storage

    This site sets no tracking or advertising cookies. Two things do use your browser’s own storage:

    • If you close the sample-kit popup, the site remembers that in your browser’s session storage so it does not reappear. It is erased when you close the tab, it never reaches our server, and it holds only the fact that you dismissed the popup.
    • If you leave a comment on a Journal post or log in as a site administrator, WordPress sets its own standard cookies to make that work.

    Fonts and content served by third parties

    Unless the option has been turned off, this site loads its typefaces from Google Fonts. Your browser requests those files directly from Google’s servers, which means Google receives your IP address and the fact that your browser asked for a font. We receive nothing from that request, and no font request identifies you to us.

    The floating WhatsApp button and any WhatsApp link on this site open a conversation with us on WhatsApp, which is operated by Meta. Once you are in that conversation, Meta’s own privacy terms govern it alongside ours, and your phone number becomes visible to us.

    Why we use your information, and on what basis

    The enquiry forms will not submit unless you tick the consent box confirming you are happy for us to contact you about your enquiry. Ticking it is not a condition of anything else, and you can tell us to stop at any time.

    Who we share it with

    We do not sell, rent or trade your information. We share it only where there is a reason to:

    • Our web host and email provider, who store this website and deliver the message that tells us an enquiry has arrived.
    • Parties to a shipment, if your enquiry becomes an order: freight forwarders, shipping lines, inspection agencies, testing laboratories, banks and customs authorities in India and in your country. Export cannot happen without this, and the documents named in the shipment necessarily carry the consignee’s details.
    • Professional advisers such as our accountants and auditors, where they need it.
    • Authorities, where the law requires us to disclose something.

    International transfers

    We are an Indian company, so if you contact us from the United Kingdom, the European Economic Area or anywhere else, your information is transferred to and processed in India. India is not currently the subject of a UK or European adequacy decision.

    Where you have sent us an enquiry or placed an order, that transfer is necessary to take the steps you have asked for and to perform the contract between us. Where we rely on a supplier who stores information outside your country, we take reasonable steps to see that appropriate safeguards are in place. Ask us and we will tell you what applies to your enquiry.

    How long we keep it

    • Enquiries that do not lead to business are kept while there is a live commercial conversation and for a reasonable period afterwards, then deleted.
    • Records connected to an actual shipment are kept for as long as Indian tax, customs and company law requires, which is measured in years rather than months.
    • Marketing consents are kept until you withdraw them, plus a record of the withdrawal so we can honour it.
    • The ten-minute form key expires on its own and is never retained.

    If you ask us to delete your enquiry we will do so, except where we are required to keep a record for the legal reasons above.

    Your rights

    Wherever you are, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email hello@aikyamhub.com and we will respond as quickly as we can, and in any event within the period the law that applies to you allows.

    If you are in the United Kingdom or the European Economic Area, you also have the right to restrict or object to how we use your information, the right to receive it in a portable form, and the right to withdraw consent at any time without affecting anything done before you withdrew it. You may complain to your national data protection authority (in the UK, the Information Commissioner’s Office), although we would like the chance to put things right first.

    If you are in India, you may ask us for a summary of the personal data we process, ask for correction or erasure, nominate someone to exercise your rights if you are unable to, and raise a grievance with us. If we do not resolve it, you may take the matter to the Data Protection Board of India.

    We will not charge you for any of this, and we will not treat you differently for asking.

    Security

    Enquiries are stored in this website’s database and are visible only to signed-in administrators. The forms are protected against automated abuse, and submissions that look automated are discarded rather than stored. No website can promise perfect security, but we take reasonable technical and organisational measures to protect what you send us, and we will tell you and the relevant authority about a breach where we are required to.

    Children

    This is a business-to-business site. It is not directed at children and we do not knowingly collect information about anyone under 18. If you believe a child has sent us information, tell us and we will delete it.

    Changes to this policy

    If we change what we collect or what we do with it, we will update this page and change the date below. Please check it from time to time.
